Description

Provide administrative support to the Chair of both departments and perform general office support duties including answering phones, taking messages, greeting visitors, opening mail, operating office equipment, running errands, purchasing office supplies, etc.

  • Perform general office support duties including answering phones, taking messages, greeting visitors, opening mail, operating office equipment, running errands, purchasing office supplies, etc.
  • Provide administrative support to the Chairs of both departments.
  • Interact with students from film, animation & interactive media in a positive, helpful and
    encouraging manner.
  • Request purchase requestions through CNF for all vendors, guest speakers, and others requiring payment.
  • Code and enter Purchase Card receipts into Chrome River Banking System.
  • Order, pick up, and deliver necessary products for meetings, classes, events, conferences, etc.
  • Coordinate schedules, calendars, travel arrangements, and appointments for guest speakers or visitors.
  • Assist supervisors and others working on specific projects or special events.
  • Monitor expenditures against budget; retrieve from CNF and prepare budget data for review/approval by supervisors.
  • Update Departments of Cinematic Arts and Animation & Interactive Media websites and social media regularly.
  • Create & publish weekly Departments of Cinematic Arts and Animation & Interactive Media newsletters.
  • Assist in organizing all departmental events, which include but are not limited to: catering bookings, booking rooms, booking rentals, organizing volunteers/students, contacting invitees, paying vendors, etc.
  • Assist in the planning and setting up of department functions with faculty and students.
  • Assist in coordinating and researching any department trips.
  • Establish a department calendar to increase organization and better plan for the school year.
  • Maintain dates and deadlines in the calendar.
  • Correspond to emails.
  • Pick up mail from the post office.
  • Purchase and maintain office supplies.
  • Considerable independence and self-direction are a must. Only general direction and scope of the work to be accomplished are discussed with the supervisor. The staff member is expected to independently carry out position duties and understand what is expected and independently perform duties.
  • Flexibility & extended hours are required during special events.
  • Strong Customer Service skills are required.
  • Perform other tasks as needed.
