The Intellectual Property Resource Assistant is responsible for providing general administrative and clerical support to the IP Practice Group (attorneys, paralegals, and other IP staff) by coordinating primarily with IP paralegals to support the IP litigation team. This position performs a variety of administrative and clerical duties to support the needs of the IP practice group and timekeepers, as well as providing backup assistance to Office Services on IP litigation matters. The IPRA maintains professional contact with clients, attorneys, and staff. A hybrid work schedule is available for this position.

Location: Los Angeles, CA

  • Work closely with local legal secretarial assistants and/or paralegals to provide on-site and other administrative support to attorneys and paralegals.
  • Assist with scheduling, time entry, expense reports, filing, billing, travel arrangements, conference room reservations, IT needs, and other administrative matters for IP attorneys and timekeepers.
  • Support IP litigation matters by assisting with assembling documents and exhibits, organizing email and other correspondence, obtaining materials from the Library, coordinating with NP Records and with both internal and external e-discovery providers, and assisting with docketing of IP litigation matters.
  • Assist with upkeep of files and records within the firm's document management system.
  • Monitor and complete incoming work requests in a timely manner, redirecting to appropriate resources as needed.
  • Coordinate input and revision of correspondence, documents, memorandum, time entries, and forms as requested.
  • Proofread work for accuracy in spelling, grammar, context, and format.
  • Performs other duties as assigned.

  • 0-2 years of administrative experience, preferably within a law firm or professional services environment. Some IP experience preferred.
  • Associate's Degree preferred. Work experience in lieu of a degree will be considered.
  • Able to learn and navigate through the firm's IP and administrative systems (i.e. Pattsy Wave, Aderant, and ChromeRiver).
  • Able to learn basic aspects of IP litigation and US Patent & Trademark Office proceedings in order to provide administrative and clerical support for such matters, working closely with IP litigation paralegals.
  • Working knowledge of windows-based software applications (i.e. Microsoft Office Suite) and document management systems (i.e. NetDocuments).
  • Excellent organization and customer service skills.
  • Demonstrated interpersonal and communication skills, both verbal and written, with the ability to work with personnel at all levels.
  • Ability to maintain confidentiality and discretion.
  • Uses initiative to analyze and solve problems in standardized situations.
  • Ability to work independently and to sort priorities with minimum level of direct supervision.
  • Demonstrated ability to work on multiple projects with various deadlines.

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows: Los Angeles, CA: $52,332 to $71,911.

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
